Booking The Studio
Policies & Conditions
✱ Payments & Reservations
All payments are final and non-refundable, including client cancellations or no-shows.
Full payment is required at the time of booking.
Reservations must be made at least 48 hours in advance. Walk-ins are allowed only if staff and space are available.
The studio may adjust rates at any time, but rate changes do not affect prepaid bookings.
A completed Rental Profile with accurate contact information is required to book.
Hourly rates: These rates are based on regular open hours and are billed per hour. Regular hours do not include after hours.
Hourly Rental Rate $100
There is a Two hour Minimum
Overtime is billed in 15 minute increments (¼ of hourly rental rate)
After Hours: After rates are based on hours scheduled after studio regular open hours. After hours are all hours outside open hours. After hours include hours before the studio opens and after the studio closes. Please contact us at book@productionhousedallas.com to schedule an after hours reservation.
Daily Rates: Daily rates are charged on a per day rate fee. Daily rates are for 10 consecutive hours only and cannot be split throughout the day. Daily rates are based on regular open hours and do not include after hours. Daily reservations must not exceed 10 hours.
✱ Cancellations, No-Shows & Weather
No-shows forfeit all paid time; no refund or reschedule is provided.
You can change or cancel your studio reservation with no additional charge up to 72 hours before your reservation by contacting us at book@productionhousedallas.com or by canceling from your confirmation email.
Rescheduling the same booking for a second time, after the first reschedule, will incur a $75 fee.
All rescheduled bookings must move to a Mon-Fri at the original price.
Our staff opens up the Studio during inclement weather so you will not have to cancel with your client(s). If roadways are blocked by official Department of Transportation or Department of Public Safety agencies and we cannot open the Studio, there is no refund but you will be able to reschedule the same reservation hours to the next available reservation date for no additional charge.
✱ Time In Studio
Rental times begin and ends promptly at the scheduled times, regardless of late arrivals or departures.
Loading-in, setups, makeup, wardrobe, lighting tests, and breakdown are to be done within the reserved time window only. The studio must be cleaned and vacated by the scheduled end time.
Overtime will be charged in 15-minute increments at $50 per 15 minutes beyond the contracted end time.
Additional time may be purchased, if available, for the original hourly rate.
✱ Studio Conduct, Capacity & Cleaning
Base rental includes up to 10 people. Each additional person is $10 (a max 30 people).
A minimum $150 cleaning fee applies for large groups, excessive mess, spills, glitter, stains, damaged items, or large left-behind items; additional charges may be charged at the Owner's discretion.
Renters must leave the studio in the same condition they found it:
Clean any spilled makeup, water, or materials
Return all props, lights, furniture, and cables to designated areas
Bag and dispose of ALL trash in the dumpster. The Studio team will replace the bag.
Fees for damages, replacement costs, or excessive cleaning will be billed to the card on file.
Unclaimed or unlabeled items left behind for 10 business days become studio property.
The studio does not ship, deliver, or store items for hourly renters.
✱ Rental Gear & Equipment
Rental gear is available based on a flat fee per item, per session.
Renters must know how to operate rented equipment OR:
Hire an in-house assistant ($25/hr), or
Pay a $50 setup fee for staff-assisted equipment setup.
If staff determines equipment is being used unsafely, an assistant fee will be charged for on-set supervision.
Only insured photographers may operate studio equipment. Clients or untrained guests may not operate any gear.
✱ Furniture & Studio Items
Furniture may be moved and used for Production & Event purposes, but must be returned to the original location found.
Some larger items should not be moved without prior request.
Please have all items and props used wiped down and returned in good condition to the location they were originally found.
✱ Cyclorama & Backdrops
No shoes on the cyclorama unless taped or wearing studio-provided booties. No exceptions.
Do not stand on the curve or lean equipment against the cyc wall.
Only C-stands that have tennis balls on the feet are permitted on the cyclorama.
A $500 charge will be applied if the cyclorama wall is excessively dirty or requires repainting.
Refrain from taping any studio’s paper or cloth backdrops. Utilize provided sandbags or apple boxes to reduce tears.
Additional charges apply for rolling out paper as a full sweep ($15 per color) or if the seamless paper is damaged and must be cut ($30).
Please note, seamless paper backdrops are available on an as is basis, not all rolls will have a full sweep. White, Black and Thunder Grey are always available for a full sweep.
✱ Insurance & Liability
All photographers must carry their own insurance covering equipment, liability, and any team members or clients present.
The Renting party must provide proof of insurance.
The photographer assumes full responsibility for their clients, crew, attendees, and hired contractors.
The studio is not responsible for any lost, damaged, or stolen items.
Renters must cover replacement costs for any damage caused by themselves or anyone in their party
✱ Damages, Loss & Studio Limitations
The studio is not liable for lost income or consequential damages due to equipment malfunction, weather, power outages, or events beyond control.
Photographers are responsible for repairing or reimbursing any damage caused during their rental.
✱ Copyright & Usage
Photographers retain copyright for all images they create.
If voluntarily provided, the photographer grants the studio usage rights for marketing.
✱Additional Info
Smoking and drug use are prohibited. Projects involving smoke or simulated (such as with a fog machine) require prior consent.
No one under the influence of alcohol or illegal substances may be admitted.
Pets are NOT allowed without prior consent.
Minors must have guardian consent forms and may not be left unattended.
Boudoir is allowed; explicit or pornographic content is not.
All clothing changes should be done in the restroom.
Surveillance cameras are active throughout the studio (excluding restrooms).
✱Agreement & Enforcement
Violation of studio rules may result in termination of the session without refund.
This agreement is governed by Texas law.
Any amendments must be in writing and signed by both parties.
